Case study: a factory and warehouse near Oradea

Introduction

A reliable, efficient system for managing the products in a warehouse is essential if you want to track and manage stock without friction. For one of our clients we built custom warehouse management software that met their particular needs and helped them optimise how they manage stock. In this case study we look at the problems the client faced and how our solution helped them reach their goals.

The challenges

The client had several problems managing raw materials and finished goods. Their old system only allowed periodic stocktakes, not the constant movement of goods. It also gave no real-time view of stock levels, which often led to overstocking and to running out of raw materials.

Our solution

We built custom warehouse management software tailored to the client's specific requirements. It gave a real-time view not just of stock, but of how goods move inside the warehouse:

  • raw material intake, tracking the exact location in the warehouse: sector, aisle, level, shelf and pallet. The software uses QR codes to scan items and shelves, an accurate and easy way to track inventory. It removes the need for manual data entry, which is slow and prone to human error.
  • tracking raw and semi-finished materials from the warehouse to the workstations and back to the warehouse
  • tracking and managing finished goods, so that goods due to be loaded onto trucks are prepared the day before in a dedicated area, making loading as fast and efficient as possible. When planning the loading we also took into account how the goods would be unloaded at the customer's site, so that unloading and assembly would be as quick and easy as possible for them too.
  • better teamwork inside the warehouse, by assigning tasks and following their progress in real time. Forklift drivers, packing staff and management work together without friction. This simplifies communication, reduces errors and raises productivity.

The custom warehouse management software we built has these features:

  • Real-time stock tracking through the production process: real-time visibility of stock movements let the client optimise production and raw material orders.
  • Order management: the client handles orders efficiently, with order processing and picking automated.
  • Custom reporting: the client can generate reports that match their specific needs.

Results

The software had a significant impact on the client's business. It helped them optimise stock management, which cut the cost of holding stock, raised productivity, reduced errors when loading trucks and improved customer satisfaction. Real-time visibility of how goods move through the factory also helped the client optimise their production flows.

It isn't only about saving time and money. The software also cuts paper use by removing manual data entry and printed documents, which makes for a greener workplace.

Conclusion

Our custom warehouse management software helped the client streamline not only stock tracking and management, but also their production flows. The result was lower costs, higher productivity and happier customers.
